Privacy policy – FSI Doc Manager

Effective date: 29 October 2026

In short: your documents, scans, invoices and text stay on your phone. FSI Doc Manager does not upload your files to our servers. The app sends only a little technical information to Google services (usage counts, crash reports, ads), the feedback you choose to send us, the pages you choose to read with AI mode (to Google's Gemini AI), and – only if you sign in – your backup to your own Google Drive.

1. Who we are

FSI Doc Manager is made by FSI Technologies (Future Smart Innovations), Mirpur, Dhaka, Bangladesh ("we", "us"). For any privacy question, email us at fsi_doc@fsitechbd.com.

2. Your documents stay on your phone

Everything you make or open in the app – scanned pages, PDFs, Word and Excel files, invoices, signatures, notes and reminders – is stored in the app's private storage on your phone. The following all happen on your phone, without sending your content to us or to anyone else:

Scanning, PDF tools (merge, compress, sign, edit, lock and others) and the Word / Excel editors.
Text recognition (OCR) in English, Bangla and Hindi, and translation. Language packs are downloaded once from Google; after that they work offline. Your text is not sent with that download.
The PDF editor, the invoice maker and expiry reminders.

Scanning uses Google's document scanner that is part of Google Play services on your phone. The app itself does not ask for camera or storage permission; when you pick photos or files, Android's own picker gives the app only the items you choose.

Your files leave your phone only when you share them, save them somewhere, read them with AI mode (see section 4) or back them up (see section 5).

3. Information the app sends

We never send file names, file contents, scanned text, invoice details or translations in any of the above. Content leaves your phone for AI only when you choose AI mode (section 4).

4. AI mode (optional)

Some tools offer an AI mode (marked with AI). It is never on by default: content is sent only when you tap an AI button or choose AI mode, and only the content of that one task:

It is sent over an encrypted connection to Google's Gemini AI, through Google Firebase AI Logic. The answer comes straight back to your phone.
It does not pass through or stay on servers of FSI Technologies. Google processes it for us as a service provider under the Gemini API terms for paid services: it is not used to train Google's AI, and Google may keep it for a limited time only to detect abuse.
AI mode needs Google sign-in, so the app can count the free AI pages a day for your account (the count stays on your phone). Your documents are not linked to your account.
The app explains this and asks before you use AI mode the first time. If you never choose it, nothing is sent. Please use it only for papers you are allowed to share.
AI answers can be wrong. Check important results (amounts, dates, names) before you rely on them.

5. Google sign-in and Google Drive backup (optional)

You can use the app without an account. If you choose Sign in with Google:

The app receives your name, email address and profile picture from Google, to show who is signed in and to count the PDF editor's free saves for your account.
For backup, the app asks for access only to the Google Drive files it creates itself (Google's "drive.file" permission). It cannot see any other files in your Drive.
Your backup (your files and invoice data, as one .zip file) goes directly from your phone to your own Google Drive, in a folder named "FSI Doc Manager Backup". It never passes through our servers, and we cannot see it.
The daily automatic backup runs only if you turn it on, only on Wi-Fi.

To stop: sign out in the app (Me tab). To remove access completely, open your Google Account → Security → "Your connections to third-party apps & services" and remove FSI Doc Manager. You can delete the backup folder in Google Drive at any time.

The app's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. Ads and your choices

The free version shows ads from Google AdMob. Ads are shown at natural breaks (for example after a task is finished) and a short video is shown only when you choose "Watch a video" in the PDF editor. Premium users see no ads.

In the European Economic Area, the UK and Switzerland, the app asks for your consent before personalised ads, using Google's consent form. You can change your choice later in the app's settings.
On any Android phone you can reset or delete your advertising ID in Settings → Google → Ads (or Settings → Privacy → Ads).

7. Permissions

Internet and network state – for ads, settings, crash reports, feedback, sign-in, Drive backup, AI mode and the one-time language downloads.
Notifications (asked once, you can say no) – for expiry reminders you set and occasional announcements.

8. Sharing

We do not sell your information. We do not share it with anyone except the Google services named above, which process it for us, or when the law requires it.

9. How long we keep information

Your files and invoices stay on your phone until you delete them or uninstall the app (deleted files first go to the in-app Recycle bin for 30 days).
Usage counts and crash reports are kept by Google Firebase for a limited time (usage counts up to 14 months, crash reports up to 90 days).
Feedback messages are kept until the issue is handled; email us to have yours deleted sooner.
Your Drive backup stays in your Google Drive until you delete it.

10. Security

Your files are kept in the app's private storage, which other apps cannot read. You can add an app lock (fingerprint or phone PIN) and lock PDFs with a password. All information the app sends goes over encrypted connections (HTTPS).

11. Children

FSI Doc Manager is a general tool for adults and is not directed at children under 13. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.

12. Your rights

You can ask us what information we have about you (in practice: only feedback you sent), and ask us to correct or delete it, by emailing fsi_doc@fsitechbd.com. You can delete everything on your phone by clearing the app's data or uninstalling it, and delete your backups in Google Drive.

13. Changes to this policy

If we change this policy, we will update it on this page and change the effective date above. Important changes will also be announced in the app.
